Assistant for Executive Operations

The Associate for Executive Operations provides scheduling, logistical and administrative support for the executive office, including some level of support for the CEO, COO, Executive Chair and Co-Founder of Share Our Strength. This position is responsible for a wide-range of critical administrative functions and must effectively provide both strategic guidance and tactical execution of scheduling needs. The Associate for Executive Operations reports to the Director, Executive and Board Operations, and works closely to ensure the smooth and efficient functioning of the Executive Office and represent the office in a highly professional manner to internal and external contacts.

This position is based in Washington, DC and will require the candidate to be local to the Washington, DC area. This role is a hybrid position, but requires both a consistent presence in Headquarters (3 days per week), and an ability to be in the office additionally as needed. This position offers a range of $60k-$64K. Exact compensation within the stated salary range may vary based on skills, experience, and internal equity.

DUTIES AND RESPONSIBILITIES

  • Serves as key coordinator of Share Our Strength's executive office, ensuring the office runs efficiently
  • Coordinates the scheduling needs of multiple executives. This includes but is not limited to planning and maintaining an accurate calendar of meetings and commitments, preparing daily calendars as well as monthly projected schedules, and dealing with complex scheduling projects.
  • Books travel arrangements and ensures all associated logistical needs are met, including travel tracking.
  • Works with executive office director to determine the best use of executives’ time and troubleshoots potential conflicts. Works with teams to ensure executives have appropriate strategic and logistical guidance to maximize event participation. Participates in pre-briefs on behalf of executives.
  • Manages logistics, coordination and event planning for key meetings and events involving the executive office, such as meeting room reservations, AV requirements and catering.
  • Handles office administrative tasks, including supply ordering, subscriptions, mailings, etc.
  • Creates and manages the contact management process for priority relationships for executives.
  • Creates and manages the flow of documents, including correspondence, for executives and ensures contracts, letters and emails are sent in a timely manner.
  • Processes expense reports and reimbursements on behalf of executives.
  • Partner with colleagues to support Share Our Strength's work to be a diverse and inclusive organization, and ensuring this value is embedded in the organization and throughout our work.

WORKING CONDITIONS

  • Normal office work environment with less than 10% travel. No heavy lifting required. Occasional evening and/or weekend work may be required.

QUALIFICATIONS

  • BA or BS degree preferred and at least 2 years of previous experience in administrative or development support, scheduling or similar functions.
  • Experience working directly with senior executives or leaders with diverse support needs.
  • Strong skills in MS Office suite, and experience with Zoom, Asana and Raisers Edge or similar CRM preferred.
  • Ability to prioritize competing demands on attention and to pivot easily when urgent situations arise.
  • Detail-oriented with strong organizational skills and experience creating and managing processes.
  • Ability to work independently and efficiently.
  • Outstanding interpersonal and relationship management skills, including the ability to identify and work through challenges, underscored by strong judgment and emotional intelligence.
  • Interest in anti-hunger and anti-poverty issues.
